Job Description

The Assistant Program Manager is a critical role within the RCI product development PMO which helps support various programs across our ship and land product portfolio. The Assistant Program Manager proactively strategizes, leads, plans, and drives activities of the strategic projects to ensure project completion within a prescribed time frame and budget. Additionally, the Assistant Program Manager functions as an in-house process driver and will be responsible for managing small size projects with increasing responsibility using various project management approaches and tools

ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Accountable for supporting the Program Managers with the development of project schedules and other related documentation

- Leads, coaches, and advises the recommended course of action to the project team, and clients in outlining milestones, establishing work plans, responsibilities, scope and tracking routines. Resolves escalated matters among the team

- Reviews status reports prepared by project personnel, modifies schedules or plans as required.

- Leads/Owns the communication of the project plan status on a regular basis to project stakeholders and core team.

- Acts as a liaison between the Product Development Team, and various internal and exterior team members- serving as primary point of contact for collecting and sharing requested information between parties.

- Leads activities to ensure project progresses on schedule and accurately reflects current project status through regular updates of tasks and statuses.

- Leads and organizes team in development of monthly presentations for senior executives. Oversees preparation of project reports related to revite/ land projects for management, client, or others. Reports typically include: status update, budget, schedule and risk.

- Leads meeting and communication plan(s) regarding projects among team and/or client.

- Utilizes and trains others on project management tools and industrial engineering techniques to lead and oversee the maintenance of project scope; customer and executive expectations as well as overall project focus.

- Owns the development of follow-up project reporting on the department intranet site(s) including the various reports, databases and key performance indicators.

- Supports decisions made by the Program Managers and takes timely independent actions in pursuit of project priorities.

- Leads various studies of operational needs and current operational performance to identify areas for improvement and efficiency on assigned project.

- Drives a culture of innovation, simplification and continuous improvement through best practice and research.

- Lead and execute initiatives by developing presentations, recommendations, and planning/managing delivery.

- Spearheads the identification of operational changes required to meet project deliverables

- Champions implementation of processes created by program managers, providing reporting on compliance.

- Ensures project information data (i.e. project status updates, schedule updates, cash flow forecasts) and project documentation into project management technology tools (software applications, web-based tools, job cost accounting tools).

- Remains current with industry trends, especially as related to contemporary project management techniques as they impact project objectives.

Job Requirements

QUALIFICATIONS:

-Bachelor’s Degree in Marketing, Supply Chain, Construction Management, or Business Administration with 5+ years of work experience as Project Coordinator or similar position

- Ability to develop a clear and detailed program plan. In order to ensure that a program is feasible and does not veer off course, the Lead will need to have the skills to develop a step-by-step plan with well-defined tasks and to make sure the team stays on a timeline. 

-Strong leadership skills and proven experience in leading a small team of professionals.

-Solid written and verbal communication skills a must. Clear and precise communication at all levels of the organization essential.

-Excellent interpersonal skills, strength in communicating in a multicultural environment with all levels of employees and management.

-Strong ability to manage clients and partners.

-Excellent organizational and presentation skills.

-Ability to multi-task in a fast-paced environment.

-Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

- Ability to establish and maintain effective working relationships with other departments to obtain information that is required

-Software: Proficiency in MS Word, Excel, PowerPoint, MS Visio, and MS Project required.

-Detail oriented with excellent analytical, financial and spreadsheet modeling skills.  

- Experience with process and industry methodologies for Project management, KPI development, Process Improvement, & Change Management

- Experience at working both independently and in a team-oriented, fast paced, collaborative environment is essential.

- Ability to read, analyze and interpret common scientific and technical journals, business periodicals, financial reports, legal documents, and government regulations.

- Ability to clearly and effectively present information to top management, public groups, and/or boards of directors.

Preferred Qualifications:

- Product Development, Project Management, Industrial Engineering or equivalent

- PMP Certified

- Change Management experience in a global organization

- Scheduling

- Exposure to Data Visualization tools is a plus

- BI Analytics & Data Visualization Experience is a plus (Tableau, Power BI).
